An outsourced IT support provider should be bought against the systems the business cannot afford to lose. “Unlimited support” may cover ordinary tickets but exclude after-hours incidents, cloud administration or recovery work. Inventory devices and services first, then ask suppliers to explain response, access and handover.
What must keep working?
For an illustrative 14-person consultancy, priority systems might be email, shared files, laptops, video calls and the client portal. This firm is fictional. Rank them by business impact and name the internal owner for each. Our business-continuity plan helps make a one-day outage scenario, while the cybersecurity-assessment guide covers deeper review. A helpdesk can fix day-to-day incidents, but a support contract should state whether it also handles backups, security updates, account recovery and vendor coordination.
Ask each provider to work through three fictional tickets: a broken laptop, an employee who cannot access files and a suspected account compromise. Who responds, within what hours, who can approve a costly fix and what record does the company receive? A fictional Provider A might offer a low per-user retainer and bill site visits separately; Provider B might include site visits but have a higher minimum. Compare the expected year and one serious incident. Do not treat a fast first acknowledgement as proof of resolution.
What belongs in the quote?
Provide the same user count, locations, operating systems, cloud services, hardware age, existing contracts and required hours. Ask for onboarding, licence management, remote support, site visits, monitoring, backups, after-hours rates, project work, hardware markup, third-party escalation and exit fees. IMDA's SMEs Go Digital route is official background for small-business digital adoption; it does not endorse a specific support provider. Require a written service catalogue and exclusions for the actual contract.
Support staff may see customer and employee data. PDPC's data-protection obligations frame the organisation's responsibilities. Its data-processing clauses guide helps ask about access, subcontractors, incidents and return. Give technicians named accounts, log privileged access and agree how emergency access is granted. The contractor data-access guide has a practical onboarding and offboarding sequence.
How do you test the service?
Start with a defined pilot or first-month review. Check a routine ticket, an escalation and the inventory produced during onboarding. Ask for monthly reporting on recurring faults, unresolved tickets and changes made. If leaving, require passwords or account ownership, device inventory, open tickets and documentation to be handed back securely. Avoid a provider relationship that leaves the company unable to administer its own systems. You can send Methodology an IT-support scope question for editorial guidance. We do not run a helpdesk or promise an IT partner.
An IT provider should give the company an up-to-date inventory after onboarding: devices, key accounts, licences, backup owner and support contacts. Ask the provider to mark items it could not verify. That gap list is valuable because an old shared account or unsupported laptop may be a bigger risk than a new helpdesk tool. Test a staff departure as well as an incident. The provider should explain how accounts, devices and licences are removed or reassigned and what confirmation the business receives.
Review the first incident report with the provider and check whether its suggested fix has an owner.
